Most cleaning contracts fail for the same reason: staff are placed on site and then left there. Propserve runs contract cleaning as a managed service. Every site gets a written scope of work, a task schedule signed off by your facilities contact, and a supervisor who physically inspects the site rather than phoning it in.
Alongside the cleaning team we run a serviced hygiene programme covering sanitary disposal, sanitisers, air care and consumables, all on a fixed exchange cycle so nothing runs out and nobody on your side has to chase it.
Teams are vetted, uniformed and trained on the chemicals and equipment they use. Where a site requires it, we work to your induction, access control and health and safety requirements before a single person starts.
What the contract covers
- Daily office cleaningDesks, boardrooms, kitchens, reception, glass, floors and refuse removal on a fixed daily task list.
- Washroom hygieneSanitary disposal bins, seat sanitisers, urinal management, soap and air care on a serviced exchange.
- Consumables supplyToilet paper, hand towel, soap, refuse bags and bin liners stocked and replenished on cycle.
- Floor careStripping, sealing and buffing of vinyl and tile; scrubbing of screed and epoxy warehouse floors.
- Carpet & upholsteryScheduled hot water extraction of carpets, chairs and soft seating, with low moisture options.
- Deep & periodic cleansPost build cleans, spring cleans, kitchen degreasing and high level dusting outside of normal hours.
How a contract starts
- Site walkthroughWe walk the building with you, measure the areas and record the surfaces, traffic levels and problem points.
- Written scope & scheduleYou receive a task schedule that states exactly what is cleaned, how often, and by how many staff, and the price is set against that schedule.
- Team placement & inductionStaff are allocated, vetted, uniformed and inducted onto your site before the start date.
- Supervised operationA supervisor inspects against the schedule, logs findings and corrects on the spot rather than at month end.
- Quarterly reviewWe sit down with your facilities contact, review the inspection record and adjust the scope where the building has changed.

On staff and compliance
Cleaning staff are employed and managed by Propserve, so you are not taking on the labour risk, the UIF, or the replacement problem when someone is off sick. Substitutes are arranged by us. Facilities and sanitary provision requirements under the Occupational Health and Safety Act sit with the employer or building owner; our hygiene programme is set up to keep those facilities properly stocked and serviced.
Common questions
Can you work outside office hours?
Yes. Most office contracts run early morning or after 17:00 so that cleaning does not interrupt the working day. Retail and industrial sites are usually scheduled around shift changes.
Do you supply the consumables as well?
We can. Some clients prefer to buy their own and have us fit and manage them; others put consumables into the monthly contract so it is one predictable figure. Both work.
What happens when a cleaner is off sick?
We send a replacement. Cover is our responsibility, not yours. That is the main practical difference between a managed contract and hiring directly.
Is there a minimum contract period?
Contracts are usually annual with a notice period, because that is what lets us place and train dedicated staff. Once off and short term work is quoted separately with no tie in.
